1–20 unit landlords
Bank reconciliation & deposit matching on DIY landlord software — payouts, batches, bank feeds
For a 1–20 unit DIY landlord, “reconciliation” usually means one boring monthly question: does every deposit on my bank statement trace back to a payment in my landlord app, and does every “paid” in the app show up in the bank? The three DIY tools answer it differently. RentRedi wins the batched-deposit breakdown lane: its processor can bundle several tenant payments into one bank deposit, and the per-payment-account Deposit Report unbundles them (exportable to .xlsx / .csv), with a published ±1 business day caveat. TurboTenant wins the bank-feed matching lane — but only with the paid TurboTenant Accounting add-on: its Import Feed pulls bank transactions, rules can auto-book repeats, and rent already collected or marked paid in TurboTenant is booked as a TurboTenant Deposit transfer so the bank line doesn’t double your revenue. Avail wins the free CSV lane: the Received Payments report emails a CSV of payments for spreadsheet matching, but we found no published bank feed in Avail’s accounting tracker, so matching stays manual. None of the three replace a bank statement as the source of truth.
What this page is (and is not)
- Is: a side-by-side of published payout timing, deposit batching, deposit/payment reports and exports, bank-feed behavior, double-count traps, failed-payment reversals, and free vs paid gates on RentRedi, TurboTenant, and Avail — plus a tool-agnostic monthly close checklist and a worked 3-door month.
- Is not: a bookkeeping course, a QuickBooks/Xero review, a trust-accounting guide for managing other people’s money, or tax advice on when rent counts as income.
- Sequel note: Read with accounting & Schedule E (year-end categories and exports), payment fees (why a deposit can be smaller than the rent), Section 8 / HAP payments (offline PHA deposits), and partial payments & credits. This page is the monthly “does the bank agree?” layer.
- Uncertainty rule: RentRedi documents batching explicitly; TurboTenant and Avail do not clearly publish whether multiple tenant payments can land as one bank deposit — check your own statement before you build a matching rule. Avail support pages often render as JS shells; we lean on indexed community-manager answers and flag their age. Payout timelines are vendor estimates, not guarantees.
Definitions (read this first)
- Payment vs payout (deposit): A payment is the tenant paying a charge in the app. A payout is the processor sending money to your bank. They happen on different days, and one payout may contain more than one payment.
- Batched deposit: Several tenant payments bundled into a single bank deposit. Your statement shows one amount; the app shows several.
- In transit: Marked paid (or withdrawn from the tenant) in the app but not yet in your bank at month-end. Normal around the 1st; a problem if it lingers.
- Offline payment: Money that never touched the app’s processor — PHA HAP ACH, Zelle, Venmo, paper check, cash — logged by you as paid. It appears in the bank under its own description, not the processor’s.
- Bank feed / import feed: A read-only connection (typically via Plaid, Yodlee, or Stripe) that copies bank transactions into the accounting tool so you can categorize or “book” them.
- Double-counting: Recording rent once when the app collects it and again when you categorize the bank deposit as income. The most common DIY bookkeeping error once a bank feed is connected.
- Reversal / return: A tenant ACH that fails after the fact; the processor may pull money back out of your bank, creating a negative line you also need to match.
Feature snapshot (verify on vendor pages)
| Capability | RentRedi | TurboTenant | Avail |
|---|---|---|---|
| Published payout timing | Varies by payment account / processor (help center documents both ProPay and Stripe payment accounts) — no single published day-count used here; check your account’s deposit history | Free plan ACH ~5–7 business days; Essentials/Pro expedited ACH ~2–4 business days (pre-funded; payments over $10,000 not eligible); card ~2–3 business days. Business days only | Standard: deposit no later than ~3 business days after the tenant’s withdrawal date. Unlimited Plus FastPay: as soon as the next business day for eligible bank-account payers. Community answer cites a ~2:00 pm cutoff that pushes later scheduling out a day |
| Batching of tenant payments into one deposit | Yes, documented: processor “when possible will batch transactions into a single deposit”; Deposit Report shows the payments inside each deposit | Not clearly published. TT says you get an email each time a rent payment is deposited — treat one-payout-per-payment as likely, not promised | Not clearly published — verify against your statement |
| Deposit / payment report for matching | Per payment account: Transaction Report (payments, refunds, deposits, withdrawals — the “single source of truth”) + Deposit Report (expand a deposit to see each tenant). Export .xlsx, plus .csv / .doc via dropdown (help article dated Aug 2026) | Payments history in the dashboard (initiation date, processing status, deposit confirmation) + deposit emails. Paid Accounting add-on: Import Feed shows the bank side next to auto-imported TT payments | Reports → Received Payments → Email Report: CSV with tenant, address/unit, transaction dates, amount, status/method; payment-type column added in 2022 per community thread. Also Reports → All Rent Payments with overdue/future hidden |
| Bank feed | Accounting Suite → Bank Accounts: connect a new bank or “Enable Existing Payment Account.” Help describes importing debit transactions into Expenses → Need Review — built for expense capture, not deposit matching. Sync limited to the last 180 days | Paid TurboTenant Accounting: Plaid (and Yodlee per FAQ) linked accounts or uploaded bank exports; imports daily, usually overnight, typically a day or two after posting. Book / Split / Ignore / Unbook; rules match by description (optionally exact amount) and can auto-book | No general bank / Plaid feed found in published Avail accounting docs — the tracker auto-records Avail payments and maintenance costs; bank matching is manual |
| Double-count protection | Not documented for income: since the feed targets debits, rent income comes from the payments side. If you add bank income yourself, don’t also count the same rent from payment reports | Yes, documented: payments collected in TT or marked paid offline auto-import as revenue/security deposits; the matching bank line should be booked as TurboTenant Deposit (a transfer), not Revenue. Accounting shows a warning flag on Revenue to discourage double-booking | No bank feed means no automated double-count — but also no automated match. Your spreadsheet is the control |
| Offline money (HAP, Zelle, checks) | Record in the app (Section 8 payments / offline payments) and match to the bank line by hand; these won’t appear in the processor Deposit Report | Record Payment offline (methods include Section 8, Zelle, Venmo, check). With Accounting, book the bank line as TurboTenant Deposit too — REI Hub’s help explicitly says Venmo/Cash App/Zelle marked-paid items go that way | Record Offline in the payment list; older community feedback (2021) asked for offline payments in the Received Payments CSV — confirm whether yours include them |
| Failed payments / reversals | Transaction Report has a failed and disputed payments section — reversals show as withdrawals from the payment account | If a tenant payment fails after you were paid, Stripe withdraws the funds from your bank. A failed payout (bad landlord bank info) is different: the tenant paid fine. TT transaction-types help books a bounced tenant deposit as Refund Issued against Rent | Community answers note occasional multi-day delays from the tenant’s bank; Avail treats rent as paid on the withdrawal date, not the deposit date |
| Multiple bank accounts | Multiple payment accounts per RentRedi account, each tied to one checking account — reconcile each separately | Destination is set per charge. Essentials: one bank account. Pro: unlimited accounts/entities (e.g., deposits to a separate account) | Support has articles on managing deposits to different bank accounts and changing the deposit account for scheduled payments — confirm plan |
| Free vs paid gap | No free landlord tier; payment-account reports come with collection. Accounting Suite plan gating has conflicting help text (see accounting page) — verify | Free: payment history + deposit emails, manual matching. Paid Accounting add-on (we noted ~$15–$85/mo by unit count in Sep 2026; confirm) unlocks Import Feed, rules, and TT Deposit matching. Essentials/Pro change payout speed, not matching | Unlimited (free): Received Payments CSV + tracker. Unlimited Plus: FastPay speed and waived ACH fees — not a reconciliation unlock |

The monthly close checklist (works on any of the three)
- Pick the cutoff. Reconcile calendar months against your bank statement, not the rent due date. Write down the statement’s ending balance.
- Pull both sides. Bank statement or CSV for the month. From the app: RentRedi Deposit Report + Transaction Report per payment account; TurboTenant payments history (or the Accounting Import Feed); Avail Received Payments CSV.
- Match processor deposits first. For each processor deposit on the statement, find the payment(s) behind it. On RentRedi, look up the deposit date in the Deposit Report and also check the business day before (the published ±1 day caveat).
- Match offline money next. PHA HAP ACH, Zelle, checks, cash — each bank line should equal one offline record in the app with the same amount and a note (“PHA HAP Oct,” check #).
- List what’s in transit. Payments marked paid in late month whose payout lands next month. On TurboTenant Free, a payment on the 28th can easily miss month-end at 5–7 business days.
- Explain every difference. Fees netted from a payout, a reversal pulled back out, a security deposit routed to another account, a partial payment.
- Leave nothing “unexplained.” Any bank deposit you can’t trace to a tenant or a charge is a question for the vendor or your bank — not a guess.
- Save the evidence. Export the month’s deposit report/CSV and the bank statement to the same folder (see document vault). Your CPA and any auditor will want both.
A matching spreadsheet you can copy
| Column | What goes in it |
|---|---|
| Bank date / amount / description | Straight from the statement — never edited |
| Source | Processor payout, PHA, Zelle, check, transfer, other |
| App payment(s) | Tenant, unit, charge, app paid/withdrawal date — one row per payment inside a batch |
| Ledger month | Which rent month the money pays |
| Difference | Bank amount minus sum of matched payments (fees, reversals) |
| Status | Matched, in transit, reversed, unexplained |
| Notes / file | Check number, PHA letter, export filename |
Worked example: one 3-door month (illustrative numbers)
Portfolio: a duplex (Unit A $1,400, Unit B $1,350) and a voucher SFH ($1,850 contract rent: $1,200 HAP from the PHA + $650 tenant portion). Assume the tenants pay any processing fees, so payouts equal rent. These amounts are example data to show the matching logic, not vendor figures.
| Step | RentRedi | TurboTenant | Avail |
|---|---|---|---|
| Units A and B pay by ACH on the 1st | Could arrive as one $2,750 deposit. Deposit Report for that date (or the day before) → expand → two tenant lines | Expect two deposit emails; Free plan ACH may not land until ~5–7 business days later. With Accounting, both payouts book as TurboTenant Deposit | Each lands ~3 business days after withdrawal (sooner with FastPay on Plus). Match against Received Payments CSV rows |
| PHA sends $1,200 HAP by ACH | Not in the Deposit Report — match the bank line to the Section 8 payment you added | Record Payment offline with method Section 8. In Accounting, book the bank line as TurboTenant Deposit, not Revenue | Record Offline with a “PHA HAP” note; match by hand in your sheet |
| SFH tenant pays $650 on the 29th | Likely in transit at month-end — list it and clear it next month | In transit almost certainly on Free; maybe on Essentials/Pro (~2–4 business days) | Paid on the withdrawal date in Avail’s eyes; the bank sees it up to ~3 business days later |
| If Unit B’s ACH later fails (shown for practice; not in the totals below) | Shows in the Transaction Report’s failed/disputed section; match the negative bank line | Stripe pulls the funds back from your bank; match the withdrawal and re-open the charge (Refund Issued against Rent in Accounting) | Check the payment status in Avail and the bank for a return; re-open the balance before late-fee logic runs |
| Month-end result | Bank shows $2,750 + $1,200; app shows $4,600 paid; $650 in transit. Difference explained | Same math; with Accounting, Revenue stays at $4,600 — not $8,550 from double-booking | Same math in your spreadsheet |
At three doors, RentRedi wins if batched deposits are confusing you and you want a built-in unbundling report. TurboTenant wins if you want the bank feed to do the matching and will pay for Accounting. Avail wins if a free CSV plus a 15-minute spreadsheet session each month is enough.
Free vs paid: who should upgrade for reconciliation
- TurboTenant: Stay on Free if you have a few doors and don’t mind matching deposit emails to payments. Consider paid Accounting once you want bank-feed matching, rules, and Schedule E reports in one place. Essentials/Pro only make payouts faster — they don’t reconcile anything.
- RentRedi: The Deposit and Transaction Reports come with the payment account. Don’t buy anything extra just for reconciliation; check whether your plan includes the Accounting Suite bank feed if you also want expense capture.
- Avail: Unlimited (free) has the Received Payments CSV. Upgrade to Plus for FastPay or waived ACH fees, not for matching.
- Outgrowing all three: If you’re reconciling many accounts, splitting owner money, or holding deposits in trust, you need real bookkeeping software or a bookkeeper — not a better rent app.
Traps that break reconciliation
- Booking the bank deposit as income too. If the app already records rent, the bank line is a transfer. TurboTenant’s TT Deposit type exists for this exact reason.
- Matching on due date. Rent due on the 1st, withdrawn on the 3rd, deposited on the 8th — match on deposit dates, track ledger month separately.
- Security deposits in the rent account. If your state requires a separate account, route deposit charges there (TurboTenant Pro per-charge routing; Avail deposit-account settings) and reconcile that account on its own. See security deposits.
- Fees netted from payouts. If you absorb processing fees, payouts are less than rent — record the fee instead of calling it a short pay. See payment fees.
- Bank-feed lookback limits. RentRedi’s feed only reaches back 180 days; TurboTenant asks you to set an import start date (usually January 1) when switching from manual expenses. Connect early in the year.
- Switching tools mid-month. Payouts in transit from the old tool will land after you’ve stopped looking at it. Keep the old tool’s reports for one more month (switch checklist).
Fit notes for 1–20 units
- Want a report that unbundles batched deposits: RentRedi.
- Want the bank feed to match rent automatically: TurboTenant with the paid Accounting add-on.
- Want free, and fine with a spreadsheet: Avail Unlimited (or TurboTenant Free).
- Have lots of offline money (HAP, Zelle, checks): Whatever tool you use, record each one with a note the day it hits the bank — none of these match offline money for you.
- Need fast month-end closes: Payout speed matters — TurboTenant Free’s 5–7 business days means more in-transit items than Avail’s ~3 or TT Essentials/Pro’s ~2–4.
Honest uncertainty callouts
- We found no explicit TurboTenant or Avail statement on whether multiple tenant payments can arrive as a single deposit. Check your statement for a month before relying on one-to-one matching.
- RentRedi’s published batching and ±1 business day notes come from the ProPay-era Transaction Report article; Stripe payment accounts have their own Deposit Report — confirm behavior on your processor.
- Avail’s Received Payments CSV fields come from a community-manager post (2021) and a 2022 update; whether offline payments are included now is unconfirmed.
- TurboTenant Accounting pricing and Avail / RentRedi plan gates drift — confirm the live pricing page.
- We don’t claim any of these tools offer statement-balance reconciliation (opening/closing balance tie-out) like QuickBooks; none was found in published help.
