1–20 unit landlords
Tenant notices & communication logs on DIY landlord software — late rent, entry, portal history
For a 1–20 unit DIY landlord, “notices” in software usually mean operational reminders and portal threads — not a magical replacement for pay-or-quit, entry-period, or posting/mailing statutes. RentRedi wins on a searchable Chats Inbox + Send Notification (phone/email/both, scoped by portfolio/property/unit) + Automatic Rent Reminders per unit. TurboTenant wins on Group Messages, Quick Replies, attachments, and a published export a chat path for documentation, plus education templates for late rent. Avail wins on centralized Messages threads (leads → tenants) plus a free downloadable Notice of Entry and Past-Due Rent Notice in the forms library — templates you still serve per law, not in-app “proof of service” wizards. None of the three published a dedicated Notice of Entry product that stamps court-ready delivery.
What this page is (and is not)
- Is: a side-by-side of published messaging hubs, bulk/portfolio notifications, rent-reminder automation, downloadable notice forms, chat export / delivery-status hints, and free vs paid gaps for RentRedi, TurboTenant, and Avail.
- Is not: legal advice, a state-by-state notice calendar, a claim that portal chat equals certified mail or posting, or a review of full property-management legal-notice suites.
- Uncertainty rule: Help docs describe product UX, not your statute. RentRedi and TurboTenant had no dedicated in-app “Notice of Entry” wizard in public help as of this research — landlords use Notification/Chat/Messages + their own proof. Avail’s forms are free PDFs/education, not verified “served with proof of delivery” workflows. Delivery status and read receipts are only as strong as each vendor publishes (RR: Not Sent / Try Again on chat; TT/Avail: notification options and timestamps — not assumed read receipts). Re-verify in a live trial and with counsel.
Late-rent reminder vs formal notice; entry; communication log (read this first)
- Late-rent reminder / alert: Operational nudge — due-day text, “you’re X days late,” auto late-fee companion. Useful for collections hygiene. Does not by itself satisfy a statutory pay-or-quit or demand for rent unless your lease + state law say electronic delivery is enough and you follow their form.
- Formal / statutory notice: Pay-or-quit, cure-or-quit, notice of entry (often 24–48 hours), non-renewal, rent increase — wording, timing, and how you must deliver (personal, post, mail, certified) are state- and lease-specific. Software may host a PDF or send an email; that is still your compliance job.
- Entry / access notice: Advance warning before non-emergency entry (HVAC, inspection, showings). None of these three DIY tools published a dedicated entry-notice product with statutory service tracking as of Sep 2026. Practical path: custom message + keep screenshots/exports + use certified mail/posting when required.
- Communication log / “proof”: Timestamped portal threads, exports, and delivery-status flags are an operational paper trail for disputes and your own records. They are not automatic compliance with notice statutes. Screenshot/export the thread; when statute demands certified mail or posting, do that too.
Feature snapshot (verify on vendor pages)
| Capability | RentRedi | TurboTenant | Avail |
|---|---|---|---|
| In-app / portal messaging & history | Chats Inbox (help: “Chat with Your Tenants”) — start from Communications, tenant profile, unit, or maintenance request; search by tenant/property/unit; unread badge. Marketing: centralized hub for leases/docs/notifications/conversations | Messages for leads, applicants, and tenants; portal messages stored in one place (turbotenant.com/messages + landlord send-message help, Jun 2025) | Avail Messages — centralized threads for leads, applicants, tenants; auto-created on lead/apply/lease; searchable and timestamped; in-app + email alerts (extra email if unread ~30 minutes per product blog) |
| Attachments | File attachments on chat (published in Chat help) | Attachments: video, image, document on messages | Thread-based messaging for policy/notice updates; treat file attachment depth as confirm in live account (blog focuses on threads + alerts, not a full attachment matrix) |
| Bulk / portfolio notifications | Send Notification (help Mar 2025): Communication → Send → Send Notification; phone, email, or both; scope All Properties / Property / Unit; custom title + message. Separate article: customize In-App (push) vs Email bodies differently | Bulk Message Leads; multi-tenant Send Message; Group Messages on web | Messages used for rent reminders and policy/notice updates across tenants; no separate “All Properties notification wizard” named like RentRedi’s in the sources we used — confirm broadcast UX in trial |
| Group messages | Portfolio/property/unit-scoped notifications; chat is primarily per-tenant/unit context (not marketed as renter-initiated group chat) | Group Messages (web; not mobile-initiated by renters per help) | Per-thread model (lead/applicant/tenant); group-blast depth not highlighted in the Messages intro — verify live |
| Templates / quick replies | Custom notification title + message; In-App vs Email body customization. No “Quick Replies” product name found like TT’s | Quick Replies templates for common replies | Free downloadable forms (Notice of Entry, Past-Due Rent, etc.) — education/PDF library, not the same as in-app Quick Replies |
| Automated rent reminders / late alerts | Automatic Rent Reminders per unit: before due, on due day, when late by X days; can repeat until paid; default onboarding often due day + every day after until paid. Creating charges does not auto-notify — landlord sends notification when ready | Product automates rent reminders and late notifications when schedules/late fees are set — distinguish from statutory pay-or-quit. Education pages + free late-rent notice template | Messages include rent reminders; education on past-due rent notes platforms can auto-email past-due notices / late fees after grace — companion to late-fee automation, not court-ready service of process |
| Downloadable notice forms (entry, past-due) | No dedicated Notice of Entry product in public help; use custom Notification/Chat + keep your own proof. Blog/education may discuss letters — not a forms library like Avail’s | Education: late rent payment notices + free template; no dedicated in-app Notice of Entry product found — messaging + external template if statute requires a specific form | avail.com/forms: free downloadable Notice of Entry, Past-Due Rent Notice, Rent Increase, Non-Renewal (PDF/education). Not verified as in-app “served with proof of delivery” workflows |
| Chat / thread export | Searchable hub + delivery status on sends; no prominent “export chat” label in the Chat help we used — screenshot / copy for records; confirm any export in trial | Export a chat from message Details (files, archive, export, block renter). Marketing: “easily exportable” for documentation | Searchable/timestamped threads; export-as-file depth not spelled out in the Messages intro — screenshot + email copies are the conservative record |
| Delivery status / read receipts | Chat delivery status: Not Sent / Try Again (and related send states in help). Do not assume full read receipts unless you see them live | Text / push / email notification options for messages; timestamps in-thread. Published “read receipt” product not claimed here — treat as notify + log | In-app + email alerts; extra email if unread ~30 minutes. Useful nudge, still not statutory proof of service |
| Free vs paid gap | Chat, Send Notification, and Automatic Rent Reminders appear on the core communications path in help — confirm your Grow/Pro (or current) plan labels in account. No separate “notices add-on” found | Messaging + Group Messages + export described on landlord messaging path; Free vs Premium label for every message feature not always itemized — verify live. Late-fee automation ties to schedules (see late-fees page) | Messages + free forms library marketed with the DIY account / Unlimited-style offering; Plus is not sold in our sources as a “unlock notices” gate. Confirm current plan names live |
Sources (Sep 2026): RentRedi help — “Chat with Your Tenants”; “How to Send a Notification to Tenants” (Mar 2025); customize In-App vs Email notification bodies; Automatic Rent Reminders; charge-creation does not auto-notify. TurboTenant — turbotenant.com/messages; help “How to Send Messages Through TurboTenant-Landlord” (Jun 2025); education pages on late rent payment notices + free template; late-fee / reminder automation when schedules set. Avail — blog “Introducing Avail Messages”; avail.com/forms (Notice of Entry, Past-Due Rent Notice, Rent Increase, Non-Renewal); past-due rent education mentioning auto-email companions. Cross-cutting: no dedicated Notice of Entry product found in RR or TT public help as of research. Re-verify plan gates, export buttons, and notification channels in a live account.
Worked example: 5-day late SFH + HVAC entry in 48 hours (not legal advice)
Single-family rental. Rent was due the 1st; today is the 6th (5 days late). You already use software late fees per your lease (see late fees & autopay). Separately, HVAC needs non-emergency service the day after tomorrow — your lease/state often expect ~24–48 hour entry notice. You want (1) an operational late nudge + paper trail, and (2) a clear entry heads-up. Formal pay-or-quit or statutory entry service — if required — still happens outside or in addition to the portal.
| Step | RentRedi | TurboTenant | Avail |
|---|---|---|---|
| 1. Late-rent operational nudge | If Automatic Rent Reminders are on for “late by X days,” tenant may already be getting repeats until paid. Else: Send Notification to that Unit (email/phone/both) with custom title/body; optionally Chat with attachment of ledger screenshot | If late notifications are tied to schedule/late fees, automated alert may already fire. Else: Send Message to tenant; optionally Quick Reply template; education PDF/template for a past-due letter if you need formal wording | Use Messages thread (or rely on rent-reminder automation if configured); optionally download Past-Due Rent Notice from forms library, fill it, and send per your delivery rules — portal email alone may not be enough |
| 2. Entry notice (48h HVAC) | No Notice of Entry wizard — Send Notification and/or Chat: date, time window, purpose, who enters. Screenshot delivery status (Not Sent / Try Again). If statute requires mail/posting, do that and file the receipt | No dedicated entry product — Send Message (attach PDF if you have a state form). Export the chat later from Details if you need a file for your records | Download Notice of Entry from avail.com/forms; complete it; deliver per lease/statute. Also drop a Messages note so the portal thread shows the same window — dual path when law is strict |
| 3. Keep the log | Chats Inbox searchable by tenant/unit; save notification copy + any outside certified-mail proof in the tenant file | Export a chat + keep attachments; archive if needed. Still add statutory proof if required | Timestamped Messages thread + unread follow-up email behavior; save filled PDF + service proof outside Avail when needed |
| 4. What you still do outside | Verify whether electronic notice is allowed for this notice type; use certified mail, personal service, or posting when statute demands; talk to counsel before treating a portal send as the start of an eviction clock. Software is the ops layer, not the courthouse. | ||
At one SFH, TurboTenant is strongest if you care about exportable chat + Quick Replies + group messaging for documentation. RentRedi is strongest if you want unit-scoped notifications + automatic late reminders + a searchable Chats Inbox already wired to maintenance. Avail is strongest if you want free Notice of Entry / Past-Due PDFs plus a continuous lead-to-tenant Messages thread — accepting that service of process is still on you.
Free vs paid: who should upgrade for notices & logs
- RentRedi: Stay on the core communications path if Chat + Send Notification + Automatic Rent Reminders cover your portfolio nudges. Upgrade decisions are usually about broader plan features (payments, screening, accounting) — not a separate “notices SKU” in the help we read.
- TurboTenant: Messaging/export is the documentation win; Free vs Premium labels for every message feature are not always crystal-clear in public help — confirm before you pay only for chat export. Late-fee automation pairs with your fee schedule page, not a notices upsell.
- Avail: Do not buy Plus “for Notice of Entry” — the forms library is marketed as free downloads. Use Messages + forms; pay for Plus only if you want other Plus features.
Fit notes for 1–20 units
- Want auto late reminders that repeat until paid: RentRedi’s Automatic Rent Reminders (per-unit rules) are the clearest published setup among the three.
- Want exportable chat for dispute files: TurboTenant’s export-a-chat path is the clearest published documentation feature.
- Want ready PDF Notice of Entry / Past-Due templates: Avail’s forms library; still serve them lawfully.
- Need portfolio-wide announcement (policy update, snow, amenities): RentRedi Send Notification scoped All Properties / Property / Unit; TT Group Messages / multi-tenant send; Avail via Messages (confirm blast UX live).
- Think portal delivery replaces certified mail / posting: none of these three — treat portal as ops trail; verify lease + state law.
- Migrating tools: Export or screenshot open threads before cutover; tell tenants which channel is canonical after switch. See switch checklist.
