Maintenance & work orders on DIY landlord software — tenant submit, photos, vendors

Search intent: replace the text-thread repair inbox with tenant-submitted tickets (photos included), track status, and know how each tool loops in a vendor — email work order vs in-app assign vs paid coordination. Updated: Sep 2026 from vendor help centers and product pages — re-check before you promise tenants a portal workflow.

For a 1–20 unit DIY landlord, maintenance software is not “full PM-company work-order automation.” It is three jobs: tenant submit with evidence, you get notified and track status, and someone who fixes it gets the details. All three tools cover tickets + photos on free (or flat-subscription) tiers. The real split is how vendors get into the loop — RentRedi leans teammate/contractor access + optional paid Latchel coordination; TurboTenant emails a work order to your pro (or Thumbtack for discovery); Avail tracks tickets on free Unlimited and lists auto-forward / contractor loop-in on marketing (confirm depth in your account).

Worked example: two tickets across three units

Portfolio: one duplex + one SFH (3 doors). Same week: Unit A leaking under-sink pipe; Unit C HVAC not cooling. What each tool is built to do — not a performance claim:

Step RentRedi TurboTenant Avail
1. Tenant submits App Repair → description + photo/video → Send Portal Maintenance form + photos + entry preference Tenant ticket + urgency + photos
2. You triage Open request; chat / ask for shutoff; set status Email link → view photos; Send Message; set In Progress Email notify → open ticket; in-app message; log notes
3. Vendor gets details Invite plumber into chat / assign teammate; or hand off to Latchel if enrolled Send Work Order to saved plumber email (photos/details included per help docs) Email / auto-forward path to your pro if configured — confirm in live UI
4. Close & record Mark completed; keep thread + media as trail Resolve request; optional shared notes/attachments for tenant Mark completed; optional expense amount / invoice attach for books
Second ticket (HVAC) Same flow; second status line in Maintenance dashboard Second request on Maintenance list / property tab Second ticket; keep Unit A closed for history when the same leak returns

At 3 doors you rarely need Latchel or Thumbtack — you need one place tenants use instead of SMS. Paid coordination becomes interesting when you travel, own remote SFHs, or lack a trusted plumber on speed-dial.

Vendor access is the real product difference

If your habit is “text my handyman the address and photos,” all three beat SMS for the tenant-facing record. If you need the handyman to update status without emailing you, RentRedi’s teammate/chat path (or Latchel) is the published edge; TurboTenant and Avail still center the landlord as the relay.

Free vs paid: what you are actually buying

None of the three hide basic tenant maintenance tickets behind a premium plan in published docs. Paid money buys coordination and payment economics, not the existence of a Repair button:

Stack with late fees & autopay and tenant payment fees: tickets are usually free; money shows up when you pay for coordination or when rent ACH fees make you upgrade.

Setup checklist (45 minutes)

  1. Decide the tenant rule: “No repair texts — submit in the portal/app with a photo.” Put it in the welcome email and lease addendum if you use one.
  2. Run one fake ticket yourself from a test tenant account (photo of a sticky note counts).
  3. Save your primary plumber / HVAC / electrician contacts where the tool allows (TT Maintenance Pros; RentRedi teammates/contractors; Avail contacts if present).
  4. Practice one work-order email or chat invite end-to-end; confirm what the vendor actually receives (photos? unit address? entry notes?).
  5. Set status habits: In Progress when you acknowledge; Resolved only after tenant confirms or you verify.
  6. If you travel often, price Latchel / similar coordination against one emergency call-out — do not assume the free tier dispatches vendors for you.
  7. Export or screenshot closed tickets before any software switch (see switch checklist).
  8. Know local entry-notice rules — software does not replace door-knock / notice requirements.
