1–20 unit landlords
Insurance & COI reminders on DIY landlord software — policies, expirations, certificates
For a 1–20 unit DIY landlord, “insurance in the PMS” usually means three different jobs: (1) your landlord / dwelling policy PDF on file, (2) tenant renters insurance required at lease and kept current, and (3) a vendor COI before a contractor climbs on the roof. Among the three DIY tools, TurboTenant publishes the deepest stack for tenant renters insurance (lease-level require toggle, AI scan of uploads, SURE partner auto-status) and the clearest property-document expiration reminder (~1 week before) for landlord policies you upload. RentRedi wins the tenant compliance dashboard story (green/red shield + push nudge + Mark as Insured) and stores landlord “insurance certificates” as private Business Documents — without a published file-expiration reminder like TT. Avail wins simple lease-attachment proof (upload → green check on the move-in checklist; Lemonade partner path historically alerted landlords) but does not publish property-policy expiration fields or vendor-COI tooling in the help we used. None of the three publish a dedicated vendor / contractor COI tracker — say so plainly and keep COIs in a calendar + local folder (or TT property docs with an expiration date you type yourself).
What this page is (and is not)
- Is: a side-by-side of where policies and certificates live, which expiration / reminder fields help centers document, how tenant renters-insurance requirements and proof collection work, whether vendor COI tooling exists, free vs paid gates where published, and cutover handoff for insurance files.
- Is not: insurance advice, coverage recommendations, legal advice on “additional insured” vs “additional interest,” a COI underwriting guide, or a claim that a green shield equals statutory proof of coverage.
- Uncertainty rule: Partner premium stickers (SURE “from $X/month,” Lemonade quotes) change and are tenant products — we cite help language for workflow only, not as price guarantees. Avail’s Lemonade blog is older; confirm the live partner and alert behavior in-account. Exact RentRedi Business Document expiration fields were not found in Documents Hub help (unlike TT’s explicit week-before reminder). Re-verify before you cancel a calendar reminder you still need.
Definitions (read this first)
- Landlord / dwelling / landlord insurance policy: Your policy on the building and your liability as owner. Lives in your vault (RR Business Documents; TT property Documents; Avail — lease-centric model, keep a local + optional attachment). Not the same as tenant renters insurance.
- Tenant renters insurance (HO-4): Tenant’s personal-property + liability policy. DIY tools often let you require proof at lease, accept an upload, and/or route tenants to a partner (SURE on RR/TT; Lemonade historically on Avail).
- Certificate of insurance (COI) / liability certificate: Usually an ACORD-style certificate showing a vendor or contractor has active liability (and often workers’ comp). Collected before roof / HVAC / electrical work. Distinct from tenant renters proof.
- Proof-of-insurance collection at lease: Operational checklist item — tenant uploads a declarations page or buys through a partner so you can see “insured” status. Does not replace reading the document for named insured, dates, and interested-party language.
- Expiration reminders: Software nudges when a date you entered (or a partner feed) approaches. TT documents a week-before reminder on property uploads; partner SURE paths may notify on lapse/cancel. Calendar backups still matter.
Feature snapshot (verify on vendor pages)
| Capability | RentRedi | TurboTenant | Avail |
|---|---|---|---|
| Where landlord policies / certificates are stored | Business Documents (account-level via Documents Hub): help lists “insurance certificates” alongside LLC, licenses, tax docs — private, not shareable with tenants. Unit Documents for unit-specific papers | Property → Documents tab (landlord-only; not shared with tenants). Help explicitly calls out insurance policies as files that can expire | No separate “business vault” in sources we used — lease-centric attachments. Store landlord policies locally and/or as a non-tenant file you manage yourself; confirm live UI for non-lease uploads |
| Expiration / reminder fields (landlord docs) | Documents Hub help covers upload, folders, Export — no published expiration-date + reminder on Business Documents in the article we used. Use an external calendar for renewals | Yes: when uploading, “If the document expires, like with an insurance policy, add an expiration date. We’ll send you a reminder a week before the expiration date.” | No published property-policy expiration reminder in help we used. Community requests for policy start/end alerts exist; treat as unverified unless your live account shows dates |
| Tenant renters-insurance requirement / collection | Tenants can buy via app partner (SURE) or upload proof. Landlord: Renters tab green shield (purchased or uploaded) / red shield (missing); red → push reminder; tenant profile Insurance section; Mark as Insured for off-platform proof. Up to ~2 business days for purchase to show | Lease-level toggle “require renters insurance” (optional — TT does not force it). Tenant notified + prompted to upload or buy via SURE. Landlord can upload on tenant’s behalf. Statuses include verified / uploaded / missing / expired-canceled / not required | After lease sign: tenant can Upload Proof or set up insurance in-portal when required by lease; file under lease → Renters Insurance; green check + move-in checklist complete. Landlord and tenant can download/delete. Historical Lemonade partnership blog: landlord alerted + basic policy info on dashboard when tenant buys through Lemonade — confirm partner still live |
| Verification depth (tenant uploads) | Green shield = purchased or uploaded; click shield to review document. Help notes SURE does not share full policy details with RentRedi (privacy — policyholder manages at SURE). Manual review of outside uploads is on you | AI insurance scanner on uploads: policy type (HO-4), Additional Interest, lease-term coverage, address match, name match → Passed / Issues found / Expired / Not Required. Override allowed after your review. SURE policies tracked live without re-scan. Help cites ~51% of renters policies cancel mid-lease — Additional Interest matters | Upload completes checklist with green check — no published AI audit of limits / AI / address in the tenant upload article. Manual read of the PDF still required |
| Partner purchase path | SURE via tenant app (Insure). Status updates when they buy through RR; outside policies need upload or Mark as Insured | SURE (help cites low monthly starting figures that change — verify live). Auto notify if SURE policy changes, lapses, or cancels; outside carriers need manual re-upload on renewal | Historical Lemonade quote-in-flow (2019+ blog). Outside carriers: upload declarations / proof to lease. Confirm current partner branding in-account |
| Vendor / contractor COI tracking | No dedicated COI module found in help/search we used. Store a contractor’s ACORD PDF in Business or Unit Documents; reminder = your calendar | No dedicated COI module found. Practical workaround: upload the COI to property Documents with an expiration date → week-before reminder (same path as landlord policy) | No dedicated COI module found. Attach to a maintenance note / keep local; no published expiration field on vendor certificates |
| Free vs paid gates | No free landlord tier in current pricing pages we use — Documents Hub + renters-insurance shields sit on the paid flat subscription. Not marketed as a separate “insurance SKU” | Property Documents + expiration reminder documented without a Pro-only label in the Documents article. Renters-insurance require + upload/AI scan described as lease workflow — confirm whether any insurance UI is plan-gated in your live Free vs Pro matrix. Do not confuse this with Pro Accounting | Lease renters-insurance attachment described as standard post-sign flow; not marketed in our sources as Plus-only. Confirm Unlimited vs Plus labels live |
| Export / switch handoff | Documents Hub → search → Actions → Export per file. Download tenant insurance docs from shield/profile. CSVs won’t carry PDFs — see document vault + switch checklist | Download each property Document + each lease’s renters-insurance file manually. No published “ZIP all insurance.” Re-enter expiration dates and re-require toggles in the destination tool | Download Renters Insurance attachment from each lease; archive landlord policies from your local drive. Expect re-key of requirements on the new lease |
Sources (Sep 2026): RentRedi help — “How to See if your Tenant has Renters Insurance” (green/red shield, push reminder, Mark as Insured, Insurance section); “Renters Insurance through RentRedi” (SURE partner; SURE does not share full policy details with RentRedi; tenant upload path); “Upload & Organize Documents” (Business Documents include insurance certificates; Hub search/Export; private). TurboTenant help — “Is There a Place for Me to Manage Documents for My Property?” (expiration date + week-before reminder for insurance policies); “What Does it Mean To Require Renters Insurance?” (lease-level Yes/No; tenant email + prompt; SURE option); “How can Landlords Upload Proof of Renters Insurance?” (landlord upload on behalf; optional setting); “How TurboTenant Verifies Renters Insurance Policies” (AI scanner checks, statuses, SURE live tracking, Additional Interest FAQ); “How can landlords and tenants update or replace renters insurance documents…” (outside SURE = manual renewal upload); “Benefits of SURE Renter’s Insurance” (lapse/cancel reminders). Avail support — “How to Upload Renters Insurance Documentation as a Tenant” (lease attachment, Upload Proof / set up insurance, green check, checklist); Avail blog “Avail Partners With Lemonade…” (landlord alert + basic policy info — verify current partner). Cross-cutting: document-vault page notes on TT property insurance reminders; no vendor-COI product pages found for RR/TT/Avail in searches used. Re-verify Insurance menus, partner names, and plan gates in a live account.
Worked example: SFH renewal + HVAC contractor COI
You own one SFH. Your landlord dwelling policy renews in 40 days. The lease requires renters insurance; the tenant bought elsewhere last year. Next week an HVAC contractor will replace the outdoor unit — you want their liability COI on file before they start. Dollar amounts and carrier names below are illustrative. Paths are what help centers document.
| Need | RentRedi | TurboTenant | Avail |
|---|---|---|---|
| 1. Landlord policy on file + renewal nudge | Upload PDF to Business Documents (Documents Hub). Set a phone/calendar reminder yourself — Hub help does not document an expiration field | Property → Documents → upload policy → enter expiration date → expect reminder ~1 week before | Keep PDF in your local insurance/ folder (and optional lease/property note). No published week-before property-doc reminder |
| 2. Tenant renters proof current | Renters tab: green shield → open doc and check dates; red → push reminder or Mark as Insured after you receive an emailed declarations page | Confirm lease setting = Yes. Open tenant card: if Expired/missing, remind or upload; if uploaded, open AI scan result (Passed vs Issues). Prefer Additional Interest listed | Lease files → Renters Insurance: download and read dates. If missing, tenant uses Upload Proof / set-up path until green check appears |
| 3. HVAC vendor COI before work | Email contractor for ACORD PDF → save to Business or Unit Documents + calendar alert. No native COI workflow | Same PDF → property Documents with expiration date (reuse week-before reminder). Still not a vendor-compliance product — just storage + date | Save PDF locally; optionally attach where you track the maintenance job. No COI module |
| 4. Cutover folder if you switch tools | Create insurance-YYYY-MM-DD/: landlord declarations + renewal binder, each unit’s renters proof PDF, every active vendor COI, a one-row sheet of expiration dates. Portal status icons do not migrate. |

At one door, TurboTenant wins if you want property-doc expiration reminders + lease require + AI scan + SURE auto-status in one product. RentRedi wins if you want a fast portfolio shield view and Business Documents for LLC/insurance packets — accepting calendar-based landlord renewals. Avail wins if you want simple lease proof collection without extra insurance concepts — accepting thinner published reminder/verification depth and DIY COI storage.
Free vs paid: who should upgrade for insurance workflows
- RentRedi: You’re already on the paid flat product for the workflows help describes. Don’t invent an “insurance add-on” we didn’t find — upgrade decisions are about broader plan value, not unlocking shields.
- TurboTenant: Stay Free if property Documents + expiration reminders + lease require/upload meet your needs. Pay Pro for Accounting/Financial Reports depth (different surface) or other Premium features you actually use — not because COI tracking suddenly appears (it doesn’t in help we used).
- Avail: Do not buy Plus “just for renters-insurance upload” based on the tenant upload article — it’s described as a normal lease-attachment flow. Pay Plus only for Plus features you need; confirm live.
- None: Buying a DIY PMS does not replace dedicated commercial COI compliance software if you run many vendors — these three are landlord ops tools first.
Cutover / switch handoff for insurance docs
- Binary files first: Export/download every landlord policy PDF, renters proof, and vendor COI. Status icons (shields, green checks, Passed tags) do not travel.
- Rebuild requirements: Re-toggle “require renters insurance” (TT) or lease language + checklist expectations (Avail/RR) in the destination — don’t assume import carries the flag.
- Re-enter dates: TT expiration fields must be typed again on the new property Documents (or your calendar). Partner SURE/Lemonade connections are per-platform — tenants may need to re-link or re-upload.
- Vendor list: Maintain a simple sheet: vendor, trade, COI expiration, additional-insured wording requested — none of the three replace that sheet.
- Pair with vault + switch pages: Document vault for where files sit; switch checklist for cutover timing.
Fit notes for 1–20 units
- Want landlord policy expiration email from the PMS: TurboTenant property Documents.
- Want one-screen tenant insured / not insured: RentRedi Renters shields.
- Want AI checks on uploaded renters policies + Additional Interest emphasis: TurboTenant scanner help.
- Want simplest “tenant uploaded proof to the lease”: Avail lease Renters Insurance attachment.
- Need vendor COI holds before work orders: none of the three — use TT expiration workaround or external tracker; see maintenance.
- Co-owned LLC packet (policy + EIN + operating agreement): RentRedi Business Documents layer.
Honest uncertainty callouts
- SURE / Lemonade premium “from $X” figures in help or blogs change — treat as marketing, not a Small Portfolio Desk price table.
- RentRedi Documents Hub help names insurance certificates as Business Document examples but does not document expiration reminders; we do not invent them.
- Avail Lemonade partnership details come from product blog / older coverage; confirm the live insurance partner and landlord alert behavior in your account.
- Community feature requests (Avail policy dates, stronger dashboards) are not the same as shipped help articles.
- “Additional insured” vs “additional interest” is insurance-contract language — software can prompt for it (TT scanner); it cannot create coverage. Ask your agent.
- No RR/TT/Avail help article we used describes automated vendor-COI collection tied to work orders.
